Event overrides

Customize any email for a single event — the tri-state enable switch, placeholders that show the organization text, and the event-scoped reminder window.

Most of the time your organization's email texts are exactly right for every event. When one event needs different wording — a gala with a formal tone, a festival with a playful one — event overrides (Event settings → Emails) let you change any email for that event only, without touching the rest.

How overrides layer

Open the event's email editor and every field's placeholder is the organization-effective text — what would send if you did nothing. Type into a field and it overrides for this event; clear it and the event falls back to the organization text again. Nothing here affects other events.

The resolution order for any given sentence:

event override → organization text → Bookitive's built-in default.

Tri-state enable switches

Where your organization texts have a simple on/off per optional email, an event has three choices:

  • Inherit — do whatever the organization setting says,
  • Force on — send it for this event even if the org has it off,
  • Force off — suppress it for this event even if the org has it on.

Mandatory emails stay on regardless — you can reword an order confirmation, never silence it.

Event-scoped reminder window

The reservation reminder's lead time can be set per event too — a day-of-sale concert might remind buyers 6 hours before expiry while the organization default is 24. The event value wins where set.

When to use overrides vs organization texts

  • Change the organization texts when the wording should apply everywhere — your standard voice, your standard footer line.
  • Use overrides for the exceptions: this one event's special instructions, a venue-specific note, a different tone.

The Customized badges make overrides visible at a glance, so a quick scan of an event's email tab tells you exactly where it diverges from your defaults — no guessing which event has a stray custom sentence from last season.
