Sponsors
A sponsor book, per-event deals, and AI-drafted outreach campaigns — how the three pieces fit, and where each lives in the admin.
Sponsors is Bookitive's CRM for the partners who fund your event: the companies that give prizes for the tombola, goods for the goodie bag, or money for the budget. It has three parts that work together — a permanent book of relationships, the concrete deals per event, and AI-assisted outreach to find new sponsors.
The three parts
- Sponsor book (organization) — every company you've ever worked with, their donation history, tags, VIP flag, and a success rate scoreboard: gave / refused / never answered. The institutional memory that outlives the student who ran last year's ball.
- Deals (per event) — what each sponsor is giving this event and where the arrangement stands, from Negotiating to Fulfilled, with an assignee responsible for pickup and thanks.
- Campaigns (per event) — AI-drafted outreach to many prospects at once: import a list, let the AI write a personal email for each, review, and send gradually from your own mailbox.
Where everything lives
| Area | Where | Scope |
|---|---|---|
| Sponsor book | Sponsors → Sponsor book | Organization |
| Templates | Sponsors → Templates | Organization |
| Sending mailboxes & compliance | Sponsors → Sending | Organization |
| Deals | Event → Sponsors | Per event |
| Campaigns | Event → Sponsors → Campaigns | Per event |
The split mirrors reality: relationships are an organization asset, deals and outreach belong to the event they fund.
Sponsor outreach sends from your own mailbox over SMTP, not Bookitive's servers — so the emails come from you, replies land in your inbox, and your sender reputation stays yours. Set that up in Sending before running a campaign.
